POSITON PURPOSE:
The operations project officer is responsible, working alongside the Core NCC team, for a range of essential organisational functions including the maintenance and management of member, partner and ally relationships and information, working with the fundraising team on event coordination, and HR and compliance support.
ROLE & RESPONSIBILITY
- Work with the core team to maintain operational policies and procedures and support effective document management as needed. Work together with the team to refine and streamline processes wherever possible.
- Work with the Office and Admin Coordinator on front-line management of in-bound communications to NCCs phone and main email address, including responding to enquiries in a timely way and engaging the community to get involved in NCC.
- With the support of the finance officer and accountant, prepare budgets and MOUs for incoming and outgoing grants, income and funding proposals and agreements as required.
- Monitor partner projects and maintain relationships with key stakeholders.
- Using NCC's HR platform, work with the team process recruitment, induction, exit processes, and maintaining the HR platform as required.
- Complete and submit compliance documentation to relevant governing bodies annually and as required, with the support of the accountant and executive officer.
- Manage relationship with insurer and process annual insurance renewals, maintain operational legal documentation as required.
- Work with fundraising staff to manage the logistics and administration of quarterly fundraising events (2x online and 2x in person).
- Contribute actively to the achievement of the goals of the core team and the organisation according to the Annual and Strategic plans.
- Undertake other tasks as required and in line with the skills and expectations of this role.
KEY SELECTION CRITERIA
Skills & Experience
- Experience in an administrative and/or operations role, and/or project management or similar.
- Excellent communication skills including the necessary sensitivity to communicate effectively to a diverse range of stakeholders including staff, volunteers, supporters, donors, members, suppliers, partners.
- Demonstrated ability to take initiative and work effectively both as part of a team and autonomously with a strong work ethic, maturity and reliability in delivery of work.
- Intermediate IT skills, including experience with Microsoft 365 (including administration of SharePoint and Exchange), databases, email lists and basic IT troubleshooting.
- Experience with OR the skills and attributes to effectively work with volunteers.
Extra Points for
- Experience working in a busy environment handling a variety of tasks simultaneously (including demonstrated attention to detail and accuracy and the ability to complete multiple tasks in an efficient and timely manner).
- Experience with the NationBuilder database program and XERO accounting program, and HR platforms and functions.
- Experience in operational policy development and review.
- Experience organising and running successful events.

- We operate under the federal Social, Community, Home Care and Disability Services Industry Award (SCHCADS) and this position is classified as Level 3 Pay Point 1 under that award;
