POSITON SUMMARY:

The Operations Project Officer is responsible, working alongside the NCC Core team, for a range of essential organisational functions. This includes contributing to the maintenance and management of member relationships through inbound phone and email, member benefit coordination, working with the fundraising team on event planning, and HR and compliance support.

  

ABOUT YOU

Seeking a candidate with strong administrative and/or coordination experience, excellent communication skills across a diverse range of stakeholders, and the ability to juggle multiple priorities with accuracy and in a timely manner.

 

ROLE & RESPONSIBILITY

  • Work with the Core team to maintain operational policies and procedures and support effective document management as needed.
  • Work with the Core team on front-line management of in-bound communications to NCCs phone and main email address, including responding to enquiries in a timely way and engaging the community to get involved in NCC.
  • Support NCC Representatives to effectively contribute on external committees.
  • Manage NCC's membership insurance package.
  • Using NCC's HR platform, work with the Core team on recruitment, induction and exit processes, and maintain the HR platform as required.
  • Complete and submit compliance documentation to relevant governing bodies annually and as required, with the support of the Finance Manager and Executive Officer.
  • Maintain operational legal documentation as required.
  • Promote a safe and compliant workplace through active WHS practices.
  • Manage NCC's annual insurance renewals.
  • Coordinate the staff team's quarterly reporting on the annual plan, and contribute to Board reports as required.
  • Prepare agendas and minutes for the Board and its sub-committees as required.
  • Process direct appeal mail donations, including banking cheques in a timely fashion.
  • Work with fundraising staff to manage the logistics and administration of fundraising events as required.

 

KEY SELECTION CRITERIA  

Essential

  • Experience in an administrative and/or operations role, and/or project management or similar.
  • Excellent communication skills including the necessary sensitivity to communicate effectively to a diverse range of stakeholders and network members including staff, volunteers, supporters, donors, members, suppliers, partners.
  • Demonstrated ability to take initiative and work effectively both as part of a team and autonomously with a strong work ethic, maturity and reliability in delivery of work.
  • Intermediate IT skills, including experience with Microsoft 365 (including administration of SharePoint and Exchange), databases, email lists and basic IT troubleshooting.
  • Experience with OR the skills and attributes to effectively work with volunteers.

Desirable

  • Experience working in a busy environment handling a variety of tasks simultaneously (including demonstrated attention to detail and accuracy and the ability to complete multiple tasks in an efficient and timely manner).
  • Experience with the NationBuilder database program and XERO accounting program, and HR platforms and functions.
  • Experience in contributing to the employee lifecycle, particularly contracts and induction processes.
  • Experience organising and running successful events.
